Purchasing Administrator – Sample Coordinator

Description

Assist buyers in the organization, tracking and filing pertaining to the department. This is a high-energy position that must have diligent follow through and communication skills.

1. Track request paperwork & label if necessary / submit / all purchasing samples to QC
2. Send email to all buyers informing of daily receipt of samples for feedback
3. Cross reference any purchase samples required to fulfill sales sample sheets (coordination required with PIC Purchasing/Sales/Customer care rep)
4. Send daily log sample report
5. Keep track and make sure all pending Purchasing dispositions are being followed up – followed thru with QC
6. Submit weekly follow up reports to all buyers for samples pending QC / Purchasing dispositions
7. Record and manage all CO-Ships (system to be created)
8. Create and manage Vendor “Library” with all new products / prices if applicable
9. Distribute monthly reports for Purchasing (landed cost – purple note sheets, etc.)
10. Build Vendor “A” ranking report for distribution to the Purchasing team (classify all items that need PSS)
11. Domestic tracking cross referencing with reports available (PO delivered but not received / PO receiving log)
12. Distribute monthly reports for Purchasing (landed cost - purple sheet notes, etc.)
13. Manage and update domestic tracking report for all open PO's and send weekly emails on shipment arrivals (collect POD's / PRO #'s as shipment confirmation and communicate with domestic vendors for this info) and communicate with Purchasing of any delays from original schedule
14. Maintain and keep tutorials up to date in drive for all reports
15. Assist with Shortage report and send reminder to buyers as deemed necessary
16. Other tasks as deemed necessary by the Purchasing Team


Education / Experience

• Bachelor’s Degree in a Liberal Arts or Business major and a minimum of three years relevant sales administration experience in an order management environment OR;
• Associates Degree in in a Liberal Arts or Business major and a minimum five years of relevant sales administration experience in an order management environment

Customer Care Representative

Description

Join a highly successful Company in the Flavor & Fragrance Industry. Our Customer Care Representatives have a key role in Berjé’s Client Satisfaction.  This position promotes customer loyalty by building and maintaining business relationships with customers, executive sales force, and co-workers.
The Customer Care representative position exists to provide front line support to key external and internal customers as well as actual execution of day-to-day order to cash processes. The position tracks order activity, and in so doing, provides pricing, product availability, & shipping schedule information to customers and internal personnel. Requirements include strong interpersonal/communication skills, teamwork, and accuracy with details, problem solving, and critical thinking capability. Previous Customer Service experience in an order management capacity is strongly preferred.
Key Responsibilities:
Records and processes orders, samples, and/or inquiries received by email, telephone, and/or through personal customer or sales contact.
Tracks order activity, and alerts appropriate staff of any potential delivery problems.
Provides pricing, product availability, and shipping schedule information to customers and internal personnel.
Suggests additional and/or alternative products or services to meet customer needs.
Researches and obtains resolution of a variety of customer complaints and issues.
Serves as link between customers and sales staff to assure responsiveness.
Report changes in order patterns and provides competitive intelligence
Expedites the delivery of selected orders.
Processes samples and follow-up.
Resolves technical difficulties and issues with the customer.
Ability to provide key account details to VP/sales manager.
Daily Customer interfaces include but not limited to project management, co-ship sample documentation, complaint/NCR follow-up, contract entry, expediting orders, and securing cash flow through invoice accuracy.
